Information Technology Department
• Backup Systems Check
o Status: Completed
o All critical data backups have been verified, ensuring that
recent copies of essential files and system configurations are
safely stored off-site. Cloud backups were also confirmed to be
functional.
• Police Department Equipment Check
o Status: Completed
o We are ensuring that the Police Department has all necessary
equipment active, including the Verizon booster, emergency
MiFi devices, and other essential communication tools.
Ongoing checks are being performed to confirm that all
systems are fully operational.
• Server and Network Infrastructure Safeguarding
o Status: In Progress
o Physical servers and network hardware are being secured,
including setting up surge protectors and double-checking
power backup solutions. We are finalizing placement of
physical equipment in secure areas to avoid potential flood
damage.
• Disaster Recovery Plan Review
o Status: Completed
o The IT disaster recovery plan has been reviewed with all
relevant stakeholders. Key personnel have been briefed on the
procedures and are prepared to respond if systems go down
during the storm.
• Remote Work Enablement
o Status: Completed
o Ensured that all employees have access to remote work
capabilities, including VPN access, secure connections, and
any required software to continue operations during a potential
office shutdown.
• Critical Updates and Patching
o Status: In Progress
o We are currently rolling out critical system updates and patches
to all essential systems and user workstations to minimize
vulnerabilities during the storm period.
• Inventory and Asset Management
o Status: In Progress
o An audit of IT assets, including mobile devices and laptops, is
ongoing to ensure they are accounted for and secured ahead of
the storm.
• Emergency Live Streaming Setup
o Status: In Progress
o A live streaming emergency meeting is being set up to
broadcast emergency updates. Testing and configuration are
currently underway.
Finance Department
• Pre-Storm Tasks:
o Ensure fuel is ordered
o Postpone utility cutoffs
o Issue vendor checks
o Retrieve cash for the City to have on-hand and coordinated with
Cathy on how to access if needed
o Issue emergency purchase orders
o Ensure I have the tools necessary to submit emergency payroll
if needed
o On standby today and tomorrow for any storm related tasks as
it relates to Finance.
City Clerk
• Emergency Briefing duties — noticing, set up, attending, taking
minutes, etc.
• Confirming off-site records storage facility is secure.
• Assist as needed.
Building, Planning and Community Development
• PRE-STORM
o 10.7.24 - Staff emailed all contractors (1 ,800) to secure job
sites
o 10.8.24 - Staff posted all jobsites (57) with dumpster and/or
port-o-lets that job sites need to be secured
o 10.8.24- Downloaded all building and planning codes to
thumb drives incase loss of internet access
• POST-STORM
• Drive by structural damage assessment for all properties in AB
(done in conjunction with PD)
. Priority permitting and inspections for all storm damage
• Tree assessments for active parks
• Building inspections will resume on Friday and priority will be
give to roofing, excavation, and concrete work and then work
through our inspections as fast as possible.
Public Utilities
• PU is monitoring the storm and conditions to act accordingly as far as
plant rounds are concerned
• Equipment has been secured — rain suits, boots, barricades, traffic
cones, water, etc.
. Distribution/collection crews are making sure barricades/cones are
removed from work areas
• Water treatment plants will be monitoring the pumps to make sure all
plants are functioning as required — Plants Operations Manager will
be working overnight shift with on call operators on stand-by
• Lift Stations generators were supplied with propane this week for
emergency back up operations if necessary
• Lift Stations pumps and wet wells will all be monitored on Scada
system for alarms (high wells, loss of power, etc)
• On call personnel to monitor alarms, with back up personnel on
stand-by
. Wastewater Treatment Plant will be manned overnight by licensed
operator and on call operators on stand-by
• Distribution "on call" personnel on stand-by , with back up personnel
available on stand-by
Public Works Hurricane Helene / Milton Reporting up to
10-9-24
Aquatic Pond pumping
Public Works pumped 2,362,522 gallons from the pond getting ready for Hurricane Helene.
The pond was already low since last week's rain event. ***The pond is also pumped down
in preparation for Hurricane Milton of about a million gallons.
Hurricane Helene
1. Helene hit on the night of September 26"'.
2. Public Works had 6 crew members that stayed all night taking calls and running tree
removal and misc. calls all night. (aprox 25 call outs)
3. During Thursday night and Friday, the PW Department handles 44 calls that were
called into the Police Department that we had to respond to, along with all the calls
that came into our own office.
4. The Public Works Department has been running both of their Grapple Truck from 7:
AM to 7:00 PM every day since hurricane Helene. We have also been running two
dump trailers and two-yard debris trailers every day since Helene. Each truck and
trailer have been a two men crew.
5. As of 10-7-24 PW has hired two other Grapple Trucks and two big Trailer Crews to
help with the debris removal of Helene, trying to get our roads clear before Milton.
