09-05-07MINUTES CULTURAL ARTS AND RECREATION ADVISORY COMMITTEE CITY OF ATLANTIC BEACH Tuesday, September 5, 2007 7:00 P.M. Adele Grage Cultural Center The regular August meeting of the Cultural Arts and Recreation Advisory Committee was rescheduled for Wednesday, September 5, 2007, in the Adele Grage Cultural Center. Committee present were: Laurie Melancon (chair), Lori Gaglione, Avery Goelz, Ingrid McCawley, John Longbottom, Jolyn Johnson, Mark Howard, Hiatt Woods, and Parks and Recreation Director Timmy Johnson and Secretary Karen Kempf. Absent were Gary Becka and Kelly Mannel. 1. Call to Order With a quorum of members, the meeting was called to order by the chair, Laurie Melancon at 7:05 pm. Laurie made introductions of new committee members. 2. Approval of the Minutes of June 26, 20Q7 The minutes were reviewed and it was noted that Alicia Paley did not attend the June 26"' meeting. John Longbottom moved and Jolyn Johnson seconded the motion to approve the minutes of June 26, 2007 as corrected. The motion carried unanimously. 3. OW Business A. Events/Programs (i) Songwriter's Concert The Songwriters Concerts have received good press in the Times-Union Shorelines in July. (ii) Acoustic Night Last month's Acoustic Night held on August 19 had 115 people in attendance with diverse artists. John believes this was the best-attended concert to date. (iii) Brochure The brochure is ready to print as soon as the last of the events are included and the budget is approved in October. (iv) Holiday Sing-a-long The sing-a-long is scheduled for December 8 in Bull Park from 6-8 pm. The evening will include caroling with singers from Mayport Middle School, a snow machine, and Santa passing out candy canes. The committee wants to get the word out and publicize the event for all age groups. (v) Teen Council The Teen Council Reps reported the following upcoming events for ~., proposed dates: ^ September 22 -Sandcastle Building near Sea Turtle • October 27 -Surf Contest ^ January 18 -Movie Night with short films from Teen Gaia. The Teen Council would like to use Bull Park if it is large enough. ^ June 6 -Day the Beach. Check and find out the last day of school. 4. New Business A. Budget (i) Timmy reported that the City Commission discussed eliminating support for the Mayport & YMCA summer camps from the CARAC proposed 2007-08 budget. (ii) CARAC has approval to carry-over $10,000 from last year's programs into the coming year. Teen Council is designated $4000 for the coming year. B. Fun Run Dawn McGee has offered to coordinate the Fun Run that was cancelled this year. Discussion followed. The committee agreed that this would be a good course of action and that perhaps the Fun Run could be scheduled the weekend before the Donna Hicken Run for Breast Cancer. (National Marathon is scheduled for February 17, 2008.) C. Bike Tour Alicia will not be able to coordinate this program in the spring. The committee will need to find someone to coordinate this event if they are to have it this coming year in spring. A proposed date for the Bike Tour was November 3~d The committee thought this date was too soon to effectively plan and promote. A date in the spring, .March 15 was suggested to give more time to plan the event. Timmy will follow-up on this date for the bike tour. D. MarshFest Plans are continuing for the Dutton Island Preserve MarshFest on November 17. City Commission has placed $2500.00 in the budget for this event. E. Board and Committee Reception Committee members were reminded of the reception on September 6"' at the Beaches Dinner, 6:30 pm. F. CARAC Vice-chair, Chair-elect Committee members were asked to consider who might serve as vice-chair of the committee in the coming year. Lori Gaglione said she would be willing to serve. Tim will speak further with Lori about the position. G. Parks and Recreation Brochure ~ Website (i) The committee plans to print 2000 brochures. The brochure cannot be mailed out to all residents. But the information about the brochure can go out in the city newsletter included in the water bill. ~"""" (ii) John asked if their can be a link to the Acoustic Night website. Tim agreed that we could do that on the City Parks and Recreation webpage. H. Art in the Park Jolyn reported that the artist database has grown from the original of 31 artists to 80, and she is still adding new artists. A first notice will be emailed by the end of September to all artists for 2008. Support group for 2008 is: Kelly Mannel: marketing; Ray Coleman: photography; Alicia Paley: dance; Laurie Melancon: food vendors; John Longbottom 8 Darrell Prather: Songwriters; and others to be added. 5. Adjournment The committee list will be updated and emailed out to members. There being no other business or discussion, Ingrid moved to adjourn the meeting and John seconded the motion.
