CULTURAL ARTS ADVISORY BOARD MEETING
November 17, 1999
A regular meeting of the Cultural Arts Advisory Board was held Wednesday, November 17, 1999, in the
City Hall Commission Chambers. Present were Chairperson Alice Gartland, Nancy Bodge, Karin Clark,
Nancy DeCandis, Karen Sadler, and Staff Member Susan Dunham.
The meeting was called to order by Chairperson Alice Gartland at 7:00 p.m.
Approval of Minutes
Minutes of the Cultural Arts Board meeting of October 27, 1999, were amended as follows: Add Nancy
Bodge to reflect that she was present at the meeting. Nancy Bodge moved to accept the Minutes of the
meeting of October 27, 1999, as amended. Nancy DeCandis seconded and the motion carried.
December Meeting
The Board discussed canceling the December meeting. Nancy Bodge moved that the December meeting
of the Cultural Arts Board be canceled. Karin Clark seconded and the motion carried.
Space for Pre -School Activities at Adele Grage
Alice Gartland spoke with Timmy Johnson who requested that the Cultural Arts Board submit a report to
him regarding the use of Adele Grage for pre-school activities. When he receives the report, he will
coordinate activities with the Recreation Board. In addition, Alice Gartland stated that Thursday and
•, Friday mornings are the only times available at Adele Grage. Karen Sadler suggested bringing children
from Atlantic Beach Elementary School to join in the activities.
Classes at Atlantic Beach Elementary
Five artists from the Watercolor Society came to Atlantic Beach Elementary November 9t' to work with a
4t' grade and a 5t' grade class. The Watercolor Society will return to the school in December. Some
other activities that have been organized are: the FCCJ Dance Department came to the school for an
African Dance performance and workshop; 120 children attended a jazz clinic at the Ritz; and 100
children attended the Beaches Fine Art Series at St. Paul's By the Sea.
In addition, Karen Sadler spoke with Linda Broadfoot about photographing the First Night third -year
loom. Linda Broadfoot has the loom in her possession and has agreed to photograph it and to donate her
time. Linda Broadfoot would be glad to suggest a framer and to meet with the framer to give her input on
the best type of frame to be used.
Concert in the Park
Karin Clark stated that a letter would be mailed tomorrow to the U.S. Navy requesting that the Band
T.G.I.F. perform at the spring concert. The proposed date for the spring concert in the park is May 7 from
5:00 p.m. to 7:00 p.m. The rain date would be May 21 at the same time.
First Night
Nancy DeCandis gave an update on First Night. She expressed her concern regarding her lack of time to
perform her role as Chairperson due to the lack of chairs for several subcommittees. Because she has to
perform these extra duties, oversights have occurred that would not have occurred had she reviewed
• policies. Alice Gartland suggested hiring an administrative person to assist First Night and that grant
funds might be available to pay the salary of this person. Nancy DeCandis estimated that this person
would work approximately 10 hours/week at an estimated cost of $5,000/year.

New Business
a. Discussion was held regarding how to manage funds received from various artists for the sale of their
artwork hanging in City Hall. Nancy DeCandis moved that any funds received by the Cultural Arts
Board from the artists for the sale of their artwork hanging in City Hall be placed in the City of
Atlantic Beach Miscellaneous Revenue Account. The artists whose work hangs in City Hall have
agreed to donate 25% of the sale price of said artwork to the Cultural Arts Board to help fund its
projects. The City Liaison will track the money in this account and will report to the Cultural Arts
Board. Karin Clark seconded the motion, which passed unanimously.
b. Millennium Project: Alice Gartland received a letter from the State of Florida, Division of Cultural
Affairs, asking if the Cultural Arts Board wanted to submit a 5 -minute video, to be completed by the
end of the year, detailing a current project. Alice Gartland did not feel that there was enough time to
prepare a videotape. Karin Clark suggested giving Janelle Wagoner this information to see if someone
from Douglas Anderson would want to videotape First Night.
c. Mural in the Park: Karen Sadler will follow up with the Cultural Council on painting the mural and
will also see if Atlantic Beach Elementary students can be included.
