Options - Sian Out - Help :Mail E] Addresses In Calendar Notpad MINUTES OF FIRST NIGHT STEERING COMMITTEE MEETING June 21, 2001 A regular meeting of the First Night Steering Committee was held Thursday, June 21, 2001, in the City Hall Conference Room. Present were Kim Armstrong, Caryn Best, Cindy Grossberg, Christine Kirk, Mayor John Meserve, Kathleen Smith Beaudreau and City Liaison Susan Dunham. 1. Call to Order Kim Armstrong called the meeting to order at 7:10 p.m. 2. Approval of Minutes of Meetine of Mav 17, 2001 A motion was made by John Meserve, seconded by Kathleen Smith Beaudreau and unanimously carried to approve the Minutes of the First Night Steering Committee meeting of May 17, 2001. 3. Old Business: A. Committee Reports: Kim Armstrong advised the Steering Committee that she attends the First Night Board of Directors meetings. She stated that the Board of Directors monitor the activity of the First Night Steering Committee and, therefore, would like a written report from each Steering Committee Chair to be collected at the Steering Committee meetings. The following are Committee Chair updates: Public Relations Committee: Caryn Best advised that she held her first committee meeting and only one person showed. However, she stated that Nancy Chapman is very experienced. Caryn Best advised that she is working on a media list and that First Night has already had some news coverage. She further stated that there would be an article in Saturday's paper about First Night. She requested that Committee chairs call her if with any newsworthy events. Kim Armstrong requested that the Committee Chairs refer members of the press to Caryn Best, Robert Frary or herself Mayor Meserve requested that everyone refer the press to him if they call with City related questions. .../ShowLetter?box=Inbox&MsgId=2009_3 026700_4311_1180_303755_0 1138&bodyPart=2&'7/17/01 Yahoo! Mail Yage 2 of 4 •Caryn Best suggested that prior to the event they place banners along Atlantic Boulevard. Mayor Meserve advised that the pillars going into Town Center will have posts to accommodate posters and that First Night should be able to hang posters at that location. Cindy Grossberg suggested hanging posters on the posts in the medians in Neptune Beach and Jacksonville Beach. Discussion was held with regard to getting teens involved in First Night. The Steering Committee determined to create a Teen Committee and Kim Armstrong stated that she would discuss this with Robert Frary. 1 Children's Committee: Christine Kirk stated that four people attended their meeting last week. She advised that the positions are filled on her committee: logistics, volunteer on-site coordinator, corporate discounts and secretary. She stated that she would mail letters to the artists this week. Discussion was held with regard to volunteers. Cindy Grossberg advised that groups who sponsored tables in the past have brought their own volunteers. Mayor Meserve suggested that Fletcher High School and Bob Tipton would be good resources for volunteers. Christine Kirk stated that the Committee would like to hire "roving" artists, i.e., a balloon person, a puppet person and a pocket lady. She also stated that the next Children's Committee meeting is scheduled for August 11th at 9:30 a.m. at Shelby's Coffee Shop. Kathleen Smith Beaudreau discussed the idea of erecting a tent in'the schoolyard between Community Presbyterian and Atlantic Beach Elementary School. She stated that the idea is that the space would be heated and lighted with rocking chairs, a dance floor, a good sound system and would be a place for everyone to converge. She suggested using the cafeteria as a staging area for the processional after completing the children's activities. Cindy Grossberg expressed her concern that the cafeteria has been used in the past as a dancing/gathering location so why change something that works. Logistics Committee: Cindy Grossberg stated that her committee would work with the artists to coordinate the set up of the artist sites. She mentioned that she needs additional help for her committee. She advised that her committee members are Deb Monte, Jeff Banks, Jane Ambler, and she is full of hope that Nancy DeCandis will join. Programming: Kathleen Smith Beaudreau gave the following update: • Use City Hall for a self—guided tour with music and art prepared by local artists. Also, have an open canvas that would allow participants to create their own art; • Serve food from Mayport shrimpers, bread and soup bowls, hot dogs and hamburgers; • Identified eight sites: church sanctuary, church fellowship hall, school media center, school art center, school cafeteria, Adele Grage, tent and City Hall; a Contacted Sally Industries to obtain a price for a giant bowling alley; • Kurt and Rebecca Farber will perform a silhouette scene with Rebecca performing ballet and Kurt performing martial arts; • The Montessori School will perform eurhythmy (learning letters through movement and sound). Mail r agc J ui -r • 'First Night footprints in Neptune Beach and Jacksonville Beach as First Coast First Night grows; • Shelby❑s Coffee Shop will be holding a non-alcoholic event on New Year❑s Eve and would like to be connected with First Night; • The ❑ call to artists ❑ has been mailed; • Skin N Bonz, Lynn Wadley and Lori Carlson will hold a workshop for children; work with each child to create an animal costume, take crape paper and weave people into a tapestry of life, song very emotional. Caryn Best suggested holding a press conference to announce the programming for First Night. Mayor Meserve suggested holding the press conference at a City Commission meeting in early November. He also suggested using press footage of Sally Industries creating the big bowling game. Mayor Meserve stated that there is a big spirit of ❑let❑s all do it together❑ among the beach cities. He stated that at some point First Night would need to determine if they want to include the other beach cities. Kim Armstrong stated that there is a general consensus that First Night is growing. Mayor Meserve stated that he thought First Night should work toward that goal. Mayor Meserve suggested having ❑ town criers, ❑ located in central areas, throughout the evening to let people know what shows are ready to begin and where they are located Kim Armstrong advised that she ordered the First Night stationary and it should be ready by next week. She also advised that First Night has been invited to participate in the Kingfish Tournament. She stated that they would hire a street performer, such as a mime or a juggler, to help attract attention to First Night. She solicited volunteers to help at the tournament. 4. New Business A. None. The next First Night Steering Committee meeting is scheduled for July 19 at 7:00 p.m. 5.
