FIRST NIGHT
BOARD OF DIRECTORS MEETING
March 27, 2001
A regular meeting of the First Night Board of Directors was held Tuesday, March 27, 2001, in the City Hall
Conference Room. Present were Kim Armstrong, Robert Frary, Mary Jenkins and Susan Dunham.
1. Call to Order
The meeting was called to order at 7:10 p.m.
Kim Armstrong displayed the organizational chart which indicated the chairs and mentors.
The confirmed chairs are as follows: Operations: John Meserve; Marketing: Kathleen Smith Beaudreau;
Volunteers: Bob Tipton; Children's Events: Kim Magley; and Publicity: Caryn Best (tentative).
Kim Armstrong gave Robert Frary an overview of all the committees and an update on the proposal from
Clear Channel.
Mary Jenkins advised that the Children's event in the past were held from 5:30 p.m. to 8:30 p.m. in the
Atlantic Beach Elementary cafeteria auditorium. She said that groups and individuals volunteered to handle
craft projects with all the children. Kim Armstrong suggested that an area of growth would be the middle
and high school age group. She also stated that Alice Gartland of the Cultural Arts Board advised that the
principal of Fletcher High School stated that the students could fulfill community service with First Night.
Kim Armstrong also advised that Alice Gartland gave her a name of someone in the Navy who might be a
good contact for First Night.
The Board discussed the Agenda for Thursday's meeting.
Mary Jenkins advised that the programming committee needs to begin working right away. She said that all
the information about programming and logistics needs to be given to the Marketing Committee by
October 1. In addition, posters, buttons and flyers need to be printed by Thanksgiving weekend.
Discussion was held with regard to everyone supporting the fundraiser at this point in time.
Mary Jenkins stated that the Board needs to focus on creating a job description for the Executive Director
position. She said that they have models from other First Nights groups and Kim Armstrong will give input.
Mary Jenkins also stated that it is crucial that the First Night Committee members follow City purchasing
procedures. Susan Dunham stated that she would bring copies of the purchasing procedure guidelines to
Thursday's meeting.
Discussion was held with regard to the First Night International Conference held in Ontario, Canada from
April 26-29. Kim Armstrong will attend.
Discussion was held with regard to the fundraiser.
Kim Armstrong stated that committee chairs need to know the goals, be familiar with timelines, and begin
holding meetings. Mary Jenkins stated that committee chairs need to be encouraged to find other volunteers.

Mary Jenkins stated that the March meeting would be held for the chair people. In April, she suggested
meeting with Suzanne Shaughnessy at 7:00 p.m. and the regular meeting at 7:30 p.m. for all First Night
Committee members.
Robert Frary asked for clarification of what the Board expects from him. Kim Armstrong responded that the
Board needs to create a job description for the chairperson of the event.
Discussion was held with regard to sunshine laws.
2. Adjournment
There being no other business or discussion, the meeting was adjourned at 8:10 p.m.
