FIRST NIGHT COMMITTEE
May 17, 2000
A regular meeting of the First Night Committee was held Wednesday, April 19, 2000, in the City Hall
Commission Chambers. Present were Chairperson Suzanne Shaughnessy, Nancy DeCandis, Mary Jenkins,
Eloise Koerber, Valerie Pickett and Staff Member Susan Dunham.
1. Call to Order
Chairperson Suzanne Shaughnessy called the meeting to order at 7:45 p.m.
2. Approval of Minutes of Meeting of April 19, 2000
Valerie Pickett moved to approve the Minutes of the meeting of April 19, 2000. Mary Jenkins seconded the
motion, which passed unanimously.
3. Follow -Up Report on Fundraiser
Suzanne Shaughnessy advised that there were 19 sponsors for the fundraiser this year.
a. Auction: Committee members stated that the auction was too long, patrons wanted to pay for auction
items by credit card, auction items needed to be previewed longer during auction, and all artwork needs to
be framed. The Committee unanimously recommended to split the auction into a silent and regular
auction, and to hold the auction during band breaks.
b. Complimentary Tickets: A discussion was held regarding complimentary tickets for contributing artists.
Approximately 122 people received complimentary tickets this year (66 tickets for sponsors and 56 tickets
for artists). The Committee determined that the Committee will invite the artists and one guest to attend
as our guest and the tickets are not transferable.
c. Tickets: The Committee came to a consensus that the admission price next year will be $30 in advance,
$40 at the dock. Reservations will be cut off three days prior to the event.
d. Warehouse: An inventory needs to be done on the items stored in the storage facility.
e. Operations: At least two operations people need to be on board the boat the day and night of the event.
f. Food: Committee members stated that the food lines were too long and very slow, food should begin
being served at 7:00 p.m., possibility of serving the food on the dock, locate food stations around the boat,
and offer tickets for dinner. The Committee requested that Valerie Pickett prepare a food budget. The
Committee decided that if the food is served on the boat, start serving earlier, offer two food lines and
dinner tickets.
g. Bar: The Committee decided that next year two bars should be set up for the first hour, then three bars,
and serve margaritas.
h. Decorations: It was decided that the pirate props are not needed for next year but keep the lights and the
trees.
