Updates for First Night 1 4 • • MINUTES OF FIRST NIGHT COMMITTEE July 21, 1999 A regular meeting of the First Night Committee was held Wednesday, July 21, 1999, in the City Hall Commission Chambers. Present were Chairperson Nancy DeCandis, Suzette Abrass, Rosemary Fletcher, Mary Jenkins, Eloise Koerber, Chinta Perera, Elise Sloan, Mayor Suzanne Shaughnessy and Staff Member Susan Dunham. The meeting was called to order by Chairperson Nancy DeCandis at 7:40 p.m. Approval of the Minutes Mary Jenkins motioned to approve the minutes of the meeting of June 16, 1999, Elise Sloan seconded and the motion carried. Committee Reports Buttons: Mary Jenkins suggested using the current logo (with different colors) as it incorporates the stars, family, sun, beach and waves. Price quotes on 2,000 buttons are as follows: Button King: a rectangular flashing button at $1.43 each or a square non -flashing button at $.26 each. Image Pro: a rectangular flashing button at $1.30 each or a square non -flashing button at $.35 each. There will be an additional art fee for changing colors on the logo. The Committee decided to order 2,500 flashing buttons. Nancy DeCandis advised the Committee that First Night International is requiring the registered mark on all First Night material. Programming: Chinta Perera informed the Committee that programming is 90% complete. Programming is still trying to locate a headliner in the classical venue. A few examples of performers they have lined up are as follows: • Sugar Daddies • Benkadi • Tamerlin • Skin & Bonz • Al Monte • Orange Park Chorale • Ace Winn • Kevin Danzig • Gerson Yessin • Drummers The Committee members offered the following suggestions for additional venues: Beach drummers; comedy; band for teens (Mayor Shaughnessy will attempt to get in touch with Inspection 12); ask teens to participate; better banners and signs; map at every site; a church group (Friendship or Roberts Mt. Pisgah). Budeet Nancy DeCandis gave the following breakdown for requested changes to the budget: Income: Consider asking the City of Atlantic Beach for $15,000 instead of $10,000 Button Sales: Increase to $10,000 from $9,000 Total Income: $54,000 (increase from $48,000) s• � 1 Expenses: Total Fundraiser Expenses: $6,195 Programming: Increase to $17,000 from $12,000 (fireworks) Material/Supplies: Increase to $1,000 from $500 (expecting more people) Total Programming: $21,400 (increase from $15,900) Shuttle Service: Increase to $500 from $300 Total Operations: $7,700 (increase from $7,500) Publicity/Marketing: Decrease to $13,600 from $15,600 Total Publicity: $13,600 Overall Decorations: Increase to 1,500 from $1,000 (permanent items, not just disposable items) Total Decorations: $2,500 (increase from $2,000) Total Administrative Costs: $3,331 (decrease from $4,100) Total Expenses: $54,726 (increase from $51,007) Mary Jenkins motioned to approve the amended budget. Elise Sloan seconded and the motion carried. Updates for First Night Military: Fireworks: Nancy DeCandis advised the Committee that Mayport is planning a fireworks display at midnight on New Year's Eve. Nancy is attempting to negotiate moving the fireworks from the north end of Mayport Beach to the south end of Mayport Beach. Buttons: A discount has been requested for the buttons for the military families. Tent: The idea of a tent was suggested where the military families could meet and greet each other. Volunteers are needed to put the tent up and take it down. Mayor Shaughnessy suggested contacting the Non -Commissioned Officer's Association. Shuttle: The military shuttle can only transport military, not civilians. Submarine: It was suggested that SIMA might be able to make a cardboard submarine. Processional: Rhonda McDonald has agreed to organize the processional. Run: Darcy Carnes has agreed to organize the run. Street Surprises: Nancy DeCandis is still trying to locate someone who will chair the Street Surprises. Photographer: Eloise Koerber will follow-up with Frank Serio to attempt to negotiate his price. Sherry Drive: Susan Dunham relayed that the Interim City Manager, David Thompson, has agreed to the idea of closing Sherry Drive from Ahern Street to 4th Street for First Night. Masks: Nancy DeCandis will approach the PTA or SAC at Atlantic Beach Elementary about sponsoring the mask making and hat making. The meeting was adjourned at 8:50 p.m. SNancy DeCdis, Chairperson
