12-17-97"FIRST NIGHT" STEERING COMMITTEE
MINUTES OF MEETING OF DECEMBER 17, 1997
The "First Night" Steering Committee held its regular meeting
on Wednesday, December 17, in the Commission Chambers. Pre-
sent were: Co -Chairpersons Nancy DeCandis and Rosemary Flet-
cher, Ree Theofan, Pam Bushnell, Dezmond Waters, Cindy Gross -
berg, Thelma Fugere, Clyde and Cindy Sullivan, Karin Clark,
Peggy Neville, Elaine Kenny, Suzanne Judas, and Carl Walker,
Board Coordinator.
The meeting was called to order at 7:35 PM by Rosemary Flet-.
cher. A motion was made by Cindy Sullivan to approve the
minutes of the last two meetings. The motion was seconded
and passed unanimously.
Following self -introductions by those present, Pam Bushnell
presented the Publicity committee report, advising that more
media attention has been given this event than last year and
outlined some of the major sources of the wide range of pu-
blicity. Other aspects of P.R., including sale of buttons
were also discussed. Pam also passed around a listing of
sponsors which she has accumulated, asking the members to
verify name spelling and to be sure all donors, including in-
kind, were included.
Thelma briefly stated that all aspects of logistics and oper-
ations have been covered, with the exception of some addit-
ional lighting for Howell Park which she was working on with
the City Electrician.
Cindy Grossberg confirmed information regarding the use of
the hayrides, to include pricing and length of time it would
be in operation.
Peggy Neville and Donna Zimmerman updated the status of vol-
unteer solicitation and outlined methods used to recruit
these volunteers and to assign them responsibilities. The
need for volunteer workers in certain areas was discussed.
Karin Clark, reporting for children's activities, advising
that volunteers would be needed to assist with set-up and
operation of several of the activities, especially for the
"later" shifts. Letters are to be sent to all of the artists
confirming details of the event and their participation. She
also reported that two people will be taking on the responsi-
bility of ensuring that the children's activities conclude on
schedule so that the room can be otherwise used.

Ree Theofan, regarding marketing, reported that tee shirts
were due to arrive by Friday, December 19. If anyone present
would be interested in obtaining one prior to the event, they
should contact her. Long sleeve and short sleeve shirts are
priced at $10.00. Buttons have arrived and are in stock;
necklaces/bracelets have also arrived and signs are due to be
delivered on December 24. Discussion followed as to distri-
bution of the signs following delivery.
Clyde and Cindy Sullivan reported that decorations were
secured or verified and outlined their needs for volunteers
and for what times and/or tasks. The ficus trees are to be
delivered, on site, on December 31.
A brief "brainstorming" session was held to discuss any prob-
lem areas or. concerns and to confirm various details of the
event.
With no further business, Rosemary Fletcher adjourned the
meeting at 8:55 PM.
