10-15-97"FIRST NIGHT" STEERING COMMITTEE MINUTES OF MEETING OF OCTOBER 15, 1997 The "First Night" Steering Committee held its regular meeting on Wednesday, October 15, in the Commission Chambers. Present were: Co -Chairpersons Rosemary Fletcher and Nancy DeCandis, Pam Bushnell, Clyde and Cindy Sullivan, Peggy Neville, Karen Summers, Cindy Grossberg, Susanne Parker, Woody Winfree, and Carl Walker, Board Coordinator. The meeting was called to order at 7:35 PM by Rosemary Flet- cher. Nancy DeCandis moved to approve the minutes of the last meeting, as read. The motion was seconded by Karen Sum- mers, and unanimously passed. Following self -introductions of those present, Woody reported on programming and distributed a copy of the tentative event schedule, noting that there were some changes made in perfor- mance times and location. She advised that the group "Glass Camels" has formally committed and that otherwise, almost all contracts have been signed and returned. Woody also advised that the inter -active sculpture to be created could, hopefully, be placed on a permanent basis, in front of the Adele Grage Community Center. Approval is being sought from the City Commission to do this. The group complimented Woody for her work in preparing a program with such wide variety and appeal. Susanne outlined the children's activities which have been developed and which include 11 artists conducting "hands on" activities for the children. She advised that more volun- teers were needed for the 7-9 PM shift and for clean up. General discussion followed on the children's activities and some additional suggestions were made. Pam, for publicity and P.R., showed the poster which was re- cently printed at no cost. Approximately 300 posters were made and are to be distributed and put up on November 15. A design cover is being made for the special insert issue by Shorelines. Pam also passed around a printed self -mailer brochure, also printed at no cost, which outlines general information about the event. There are approximately 3,000 of them available. Pam also showed a sample of tee shirts to be considered for selling, as well as a sports water bottle and some glow -in - the -dark bracelets and necklaces. Discussion on these items followed. w Pam also advised that the "hotline" that was used last year will again be in effect, commencing on November 1. She also outlined other sources of publicity which she has either arranged or is exploring. Cindy reported for operations/logistics and advised that all groups were being contacted to see what their specific needs are. Also, she outlined arrangements for the hayrides as well as the vans to be used as shuttles. Peggy Neville for the volunteer committee reported that Susan Stanton had recently spoken with a group and solicited volun- teers and also Fleet Landing was being contacted for the same purpose. Volunteers will also be requested at the upcoming "Brickfest" to be sponsored by "TownCenter". Nancy DeCandis reminded the committee that the event will be held regardless of weather conditions. A brief dis- cussion was held on whether or not to hold two meetings in November. It was decided that two would be held and the dates are November 5 and November 19.
