"FIRST NIGHT" STEERING COMMITTEE
MINUTES OF MEETING OF OCTOBER 16, 1996
The "First Night" Steering Committee met in the Commission
Chambers on Wednesday, October 16. Present were: Dezmond
Waters, Karen Summers, Nancy DeCandis, Rosemary Fletcher, Pam
Bushnell, Tim and Lavinia Kubiak, Donna Zimmerman, Nancy
Wielgus, and Carl Walker, Board Coordinator. Also attending
were new members Paige Slade and Henny Schoonover.
The meeting was called to order at 7:35 PM and, following in-
troductions, Dezmond asked for reports from the sub -committee
chairpersons.
Carl reported for Suzanne Judas who was out of town, and ad-
vised that Suzanne had been looking into liability insurance
for the event. It appears that although City property loca-
tions would be covered under the City's "blanket" policy, it
will be necessary to purchase "Special Event" coverage since
some of the locations (i.e. the Church and school) do not
fall into that category. Suzanne and Carl will continue to
handle.
Nancy DeCandis, for Logistics, reported that the proposed
budget for that committee has been drastically reduced since
it appears some of the items or services can be donated, not
purchased or rented. She is still checking into the cost of
security. Some discussion followed regarding firework versus
a bonfire, especially considering the cost of the fireworks.
There was also discussion regarding the need of someone to
assume responsibility for vendors and also for teen events.
Several names were suggested.
Karen Summers reported that the focus for donations was now
on small businesses and individuals and all efforts for large
corporations had been made. It's necessary that donations
be made no later than October 30 to ensure that names can be
acknowledged in the programs, etc. Pam Bushnell, on behalf
of the group, thanked Karen for undertaking the fund raising
responsibility.
Pam & Nancy Wielgus reported for Publicity/Marketing. Nancy
has secured bids for the making of buttons. The lowest of
these is for approximately $600 for 2,000 buttons at a cost
of $.30 each; Carl will make arrangements for a City Purchase
Order to be issued and Nancy will take it to the selected
vendor along with the necessary art work. The production
time, according to the vendor, is 10 working days. Conver-
sation followed as to when the selling of the buttons should
begin. Pam also announced that she had met with the City
Manager who agreed that the buttons could be sold at City
Hall. They will also be sold at other locations (i.e.
businesses and selected merchants). Other discussion fol-
lowed on the printing of programs and posters, as well as
a time frame on both and ways of distribution. A full
page article will appear in the forthcoming issue of "Tide -
Views" to be distributed around the first week in December.
Pam also recommended that another newsletter be issued both
to promote the event and to recruit volunteers. The members
agreed.
Donna Zimmerman and Peggy Neville have been working on plans
for a recruitment session to be held in the Commission
Chambers. The dates of November 24 and December 8 were se-
lected between the times of 4 PM - 6 PM. Donna urged that
all sub -committee chairpersons be present at both.
Rosemary reported that it was decided that the William Eaton
group would be cancelled for the event due to financial
constraints. They have been so notified and were understand-
ing. She is working toward a local replacement for their
time period. The need for visual arts was also discussed.
The ABET Theater group has been contacted and has agreed to
perform comedy pieces at the Adele Grage Community Center
between 7PM - 9PM.
It was agreed that committee meetings will continue to be
held on the first and third Wednesday of each month with the
next meeting scheduled for November 6.
With no further business, the meeting adjourned at 9:05 PM.
