With kindest regards, Suzanne Shaughnessy Mayor :ss Enclosure: Mayoral charge of 22 June 1998 Prnted on Recycled Paper Agenda Item 7 - B 6 -22 -98 Atlantic Beach History 2000 Committee Authority: By the authority vested in me under Article 11, Section 8 of the Charter of the City of Atlantic Beach, I hereby authorize the formation of an ad hoc committee to be known as the Atlantic Beach History 2000 Committee (ABHC). Charge: The ABHC shall meet for the purposes of research and compilation of data from materials of historic significance to the City of Atlantic Beach. The Committee shall produce as its end product a History of Atlantic Beach for the Year 2000 celebration and shall, in the process, promote Public Awareness of the historic aspects of our City. Procedural: The Committee shall use Roberts Rules of Order as its procedural and parliamentary reference. As the Committee's work is of a fact - finding and investigative nature, and does not ultimately result in recommendations to the Commission, it shall not be subject to sect. 286.011 F.S., the "Government in the Sunshine" law. Members may meet without public notice require- ments and may communicate with one another in the course of their work. Minutes of meetings are not required. All documents shall be subject to Chapter 119 F.S., the "Public Records " law. The Committee shall be in compliance with all applicable sections of the Atlantic Beach City Code and Charter. The City Attorney shall be the Committee's resource for clarification of applicable State statutes, City codes and Charter provisions. Due to the unique nature of the ABHC's work, it is appropriate for the members to determine procedures as the work progresses. It is anticipated that members may be assigned research tasks, may conduct interviews to capture the "oral tradition" of citizens with AB History 2000 Cmte, page 2 long -term residence here, and may use more than one format in the formulation of a their end product. Reporting: The ABHC shall report an overview of its goals and objectives to The City Commission at its next regularly scheduled meeting on July 13, 1998. The Committee's final report shall be in the form of a documented History of the City, and that report shall list its major contributors and authors. The date for that report shall be no later than Decem- ber 31, 1999. Interested parties should contact on of the Co- Chairs, who shall determine the balance of the membership and shall report suggested membership appointments promptly to the Mayor for confirmation. These shall be made in writing through the City Clerk Maureen King, who will timely copy all City Commission Members.
