A RESOLUTION OF THE CITY OF ATLANTIC BEACH, FLORIDA, AWARDING BID NO. 2122-12:
MULTI-YEAR CONTRACT FOR JANITORIAL SERVICES, SUBJECT TO THE PROVISIONS OF
THIS RESOLUTION.
WHEREAS, on August 24, 2022, two bids were received and opened for City Bid No.
2122-12: Multi -Year Contract for Janitorial Services; and
WHEREAS, the low bidder, Royal Cleaning Services submitted a total annual cost of $57,900 and
provided all required documentation in their bid submittal; and
WHEREAS, the areas to be cleaned three days per week include City Hall & Commission Chambers,
Public Safety, Public Works, WWTP Office/Lab, Water Plant #1, Water Plant #2 and Public Utilities; and
WHEREAS, the areas to be cleaned five days per week include City Hall (restrooms & lobby only);
Adele Grage Cultural Center, Donner Community Center and Jordan Community Center; and
WHEREAS, the period of the contract shall commence October 1, 2022 and shall terminate five (5) years
after the date of commencement, subject to annual appropriations as may be approved for this purpose. The City
and/or the Contractor may cancel the contract at the end of the 3`d or 4`h anniversary year, without cause, upon six
(6) months written notice; and
WHEREAS, $62,000 has been requested for Janitorial Services in the upcoming FY22-23 budget under
the Building Maintenance account number 001-1012-519-3400. The current contract annual cost is $57,600 and
this proposed new contract annual cost is only $300 more, i.e. $57,900. The additional budgeted money can be
used on an as needed basis for any additional cleaning needs that may not be included in the specifications.
NOW THEREFORE, be it resolved by the City Commission of the City of Atlantic Beach as follows:
SECTION 1. The City Commission hereby authorizes awarding Bid No. 2122-12: Multi -Year Contract
for Janitorial Services to Royal Cleaning Services.
SECTION 2. The term of the contract shall be in effect for a period of (5) calendar years.
SECTION 3. Notwithstanding the approval granted and other provisions contained herein, the City's
obligation under the Multi -Year Contract approved herein is subject to annual appropriations for this purpose as
may be adopted and included in the City's annual budgets for Fiscal Years 2023, 2024, 2025, 2026 and 2027.
SECTION 4. This Resolution shall take effect immediately upon its passage and adoption.
