CULTURAL ARTS AND RECREATION ADVISORY COMMITTEE
CITY OF ATLANTIC BEACH

Present: Laurie Melancon (Chair), Lori Gaglione, Avery Goelz, Mark Howard, Jolyn Johnson,
John Longbottom, Kelly Manuel, Ingrid McCawley, Hiatt Wood, and Tim Johnson (Director
Recreation), and Karen Kempf (Recording. Absent: Gary Becka
1. Call to Order -Chair Laurie Melancon welcomed committee members and called
the meeting to order 7:05.
2. Minutes -The committee reviewed the meeting minutes from the October 23, 2007.
Hiatt moved for approval, Lori seconded, and the minutes were unanimously
approved.
3. New Business
(i) Cultural Center of Ponte Vedra -Sandy Wilson was not able to attend
tonight's meeting due to scheduling conflicts. Laurie will ask her again
for the January meeting.
(ii) Membership of CARAC -the by-laws state that a committee member
can be dropped after three consecutive missed meetings. Committee
members can help replace expiring term members and inactive members
with new members by recommending names. Kelly is resigning from the
committee in January. Tim has let the city clerk know that we have 2
openings on the CARAC committee to fill in 2008. Applications can be
filed with Donna Bussey at City Hall.
4. Ongoing Business
A. Events/Programs
(i) Fun Run -The committee agreed to invite Dawn McGee to the next
meeting to discuss the Fun Run. Laurie will invite her to the January
meeting.
(ii) Holiday Sing-Along -Ingrid asked committee members to donate
cookies and juice, and drop them off at the Center. Laurie and Ingrid
will locate more holiday karaoke discs. Otherwise, Santa, Santa suit,
snow machines, projector, kazaoke machine, and candy canes are all
taken care of and set to go.
(iii) Songwriters' Concert -John reported that the November Songwriters
concert had 50 attendees and about 20 performers. For the refreshment
set up, water is needed as well as coffee. John is still working on the
WIFI for performances. December 9 is the next concert night.
(iv) Acoustic Night -Next performance will be Mazch 30`t'.
(v) Bike Tour de Parks -Alicia will coordinate the Mazch 15`~ event. Lynn
Coalson offered to help with the bike tour as well. Invite Alicia to the
next meeting since this will be the next committee event.
(vi) Arts in the Park - Jolyn will give a report in January. In the meantime,
she and Kazen will work on updating the registration form and get it up
on the website.
(vii) Brochure -Kelly reported that Katie Rider will design the
brochure/calendar of events. The committee reviewed the copy and gave
edits to Karen for changes & corrections. Katie will provide a brochure
with map, a large .pdf map for the website, and a template for quarterly
updates. Kelly anticipates a strong interest in the events calendar for
schools, families, and for realtors in the area. The 2008 brochure will be
completed for the January meeting.
(viii) Website -Karen reported that she will be working on the website
between holidays. Besides the pazk map, the special events page for the
new yeaz will be active. We need to publicize the website and let people
know how to access recreation and special events information. Kelly
also gave the media list and sample press releases to Karen to use for the
coming year's publicity.
B. Teen Council -Avery & Hiatt
(i) Avery reported that Teen Council assisted at the Marshfest.
(ii) The November 4 Surf Contest was a success. About 135 people
attended, with 50 participants in the events. All of the tee shirts were
given out and the food was eaten at the end of the event.
(iii) January Movie Night -Avery will check the date, Monday night, Jan.
28, and get back to Karen to confirm availability of the park and
building.
City Commission meeting -Laurie attended the city commission meeting at which
Lisa Goodrich made a presentation regazding funding for Beaches Fine Arts. The
city commission did not allocate money. There seemed to be confusion about how a
request gets made to the commission. The MarshFest organizers went directly to the
city for money. CARAC granted $500 support for BFA but does not have money in
their budget for the funding of outside organizations. In the future, the committee
might make a recommendation to the city commission to grant funding, or include it
in next yeaz's CARAC budget. CARAC needs to weigh the mission of organizations
that ask for funding currently and then work the current budget. Dces the CARAC
Chazge address just Atlantic Beach residents or the entire Beaches community? Tim
will send the approved minutes of the meeting to Jim so he can review the
committee's support of Beaches Fine Arts.
6. Adjournment -Hiatt moved and Kelly seconded that the meeting be adjourned.
The meeting was adjourned at 7:55 p.m.
