3. Old/Ongoing Business
A. Events/Programs
(i) Fun Run -Tim reported that Laurie contacted Dawn McGee but
has not heazd back from her. If we do not have a coordinator for
the event, he recommended we remove this event from the agenda
until later in the year.
(ii) Tour de Parks -Tim announced that Alicia Paley is coordinating
the event and that Lifestyles Realty has agreed to produce the map
and flyers for the event. They have volunteers who will be at the
pazks. Alicia plans to give out tee-shirts again this yeaz.
(iii) Arts in the Park - Jolyn asked for the Teen Council help for
distributing Art Walk and Arts in the Park flyers. Avery and Hiatt
confirmed that the Teen Council will help. Mark will create a new
watercolor for the event that will be featured on the flyers and the
tee-shirts. Jolyn will send out a "Call to Artists" in February
starting with the previous artists. She plans to invite food vendors
this time so people stay longer. Jolyn also plans to invite a face
painter and caricature artist for fun. The site layout will be much
the same, except for strategic placement of toilets and food, music
and dance. Teen Council agreed to do drinks again at the event.
The event will start at 11 and end at 5 pm.
(iv) Brochure -Tim distributed the new Events Calendar to the
committee. Five thousand brochures were printed and will be
distributed to the schools in the azea.
(v) Songwriters' Night (December & January) -Mike Shakelford
(reporting for John Longbottom) noted that the December and
January events were standing room only. The venue is attracting
many new performers. The event has a family and neighborhood
atmosphere with all ages attending.
(vi) Sing-Along -Ingrid reported that the December event was very
well attended. Between 100-150 people were there with lots of
children to enjoy the snow and visit with Santa. Next year, if the
event continues to grow, she'll need more volunteers to help with
the set-up and clean-up.
B. Teen Council -Avery
(i) "The Goonies" Movie Night at Bull Pazk. After consideration of
the predicted rain and cold weather, the Teen Council decided to
move the event to Feb. 1 "rain date" and continue to advertise the
event.
4. New Business
(i) Mike Shakelford & Darrell Prather presented a Songwriters' &
Acoustic Nights Proposal** to the committee. The last 3-4
months, the audience has increased dramatically and draws people
from Duval and St. Johns counties. Songwriters are now being
limited to one song instead of two since there are so many who
would like to perform.
Shakelford and Prather proposed that the event should be bi-
weekly and could alternate performances between Adele Grage
Theatre and Donner Community Center. The proposal asked to
increase the Songwriters Night to twice a month, and the Acoustic
Night to twice a month between March and October. They would
like to continue to offer this unique event free to the public. A
total of $11,700 would be needed to fund the increased cost of
events from January 2008 to December 2008.
The committee discussed the proposal and how to manage the
growth of the event. An increased cost of $6000 is not in this
year's budget. The committee also discussed other sources of
funding for the events and best venues to continue the ambiance of
the current events -both indoors and outdoors.
2
The committee decided to table this discussion until next month
when Laurie, the committee chair, and John return.
5. Adjournment
There being no other business, Hiatt moved to adjourn the meeting and Mark
seconded the motion. It was unanimously accepted to adjourn the meeting at
8:11 pm.
