02-26-08MINUTES CULTURAL ARTS AND RECREATION ADVISORY COMMITTEE CITY OF ATLANTIC BEACH Tuesday, February 26, 2008 Adele Grage Cultural Center 7:00 P.M. Present: Lori Gaglione-Vice chair, Avery Goetz, Mark Howazd, John Longbottom, Ingrid McCawley, Hiatt Woods, Tim Johnson (city liaison), Karen Kempf (recording). Absent: Jolyn Johnson, Laurie Melancon. Guests: Darrell Prather, Dawson Pickett, Jesse Dattilo. 1. Call to Order -Quorum was established and Lori Gaglione, Vice-chair called the meeting to order at 7:04 p.m. 2. The Minutes of January 22, 2007 were reviewed. Ingrid moved to accept the minutes, Hiatt seconded, and the committee unanimously approved the meeting minutes. 3. Ongoing Business A. Events/Program Updates (i) Tour de Parks -Tim reported for Alicia Paley that the plans for the Tour are proceeding. The brochure and map will be distributed shortly. The tour will start at Jack Russell Park at 9 a.m. Lifestyles Realtors' volunteers will be stationed at the pazks. Tim will make up crib sheets for information about the parks. The Boy Scouts will be tour leaders and introduce the parks and participants can have their maps stamped at the ten park route. (ii) Arts in the Park -Tim reported for Jolyn that Mazk Howard's watercolor for Arts in the Park V is completed and will be used for the posters. Mazk thought that the prints might sell at event for $45. Mark will put something together for the next meeting for committee to review. Posters might also be sold at the event as "collector" series items. Alicia is working with the dancer line-up and John is working with the musicians. (iii) Songwriters' Concert February -John reported that the event is continuing to grow, standing room only in February -capacity audience in the theatre. Twenty-one people performed and Darrell carried three performers into March. (Report presented at meeting.) Acoustic Nights will begin outside in March throughout the summer. (iv) Songwriters' Proposal -Songwriters' group hopes to grow into more weekends and may have to move to another location. The committee discussed various options such as renting a larger venue once a quarter for overflow; using two rooms, front and back concurrently for performances; moving outside; using other facilities; increasing frequency; increasing length of evening to 3 hours; open windows and overflow onto the porch; ask audience to step out when done; and put musicians backstage instead of in the audience. After discussion, for the time being to manage the event, Darrell noted that the audience will be limited to capacity of theatre (85) and continue with one evening a month at Adele Grage. B. Teen Council (v) Report -Hiatt reported that despite the rain date move to Feb. 1, they did have a turnout for "The Goonies" of 25 people (children and families). The bounce house was a good draw and a big hit for the kids. The corner knoll in Bull Park was a good location. For next year, it would be better to `get the word out' sooner; do more advertising; provide cookies; get the teens to do a movie logo; and perhaps do the event quarterly based on a theme (October Halloween, December Holiday movie; July 4 patriotic, etc.}. 4. New Business (i) .Fletcher High School Band Boosters proposal requesting $3000 donation for the Fletcher Band trip to DC. The committee was asked to make a recommendation to City Commissioners regarding this request. A discussion of CARAC budget support for programs or projects followed. After further discussion and review of the CARAC budget, Hiatt moved that the committee donate $1000 to the Fletcher band trip. Mazk seconded the motion and it was carried unanimously. The committee recommends to the City Commission a donation of $1000 for the Fletcher High School Band trip. 5. Other Agenda Items (i) Event Reports -Tim asked for help in following up with programs and organizations that the committee gives money to throughout the year. The organizations need to report to the committee what the money has been used for. He asked for volunteers from the committee to contact the various organizations. Lori volunteered to follow-up with all the organizations and report back to the committee. Tim will provide the organizations and contact information. (ii) Hiatt and Avery, -Graduation Seniors will be leaving the Teen Council this summer. John Goelz is resigning as Teen Council liaison this spring. The Teen Council wants more students involved in creating more events for teens and families in Atlantic Beach. 6. Adjournment Hiatt moved that with business completed, the committee adjourn. Mark seconded the motion and the meeting was adjourned at 7:48 pm.
