Present: Laurie Melancon, Lori Gaglione, Cris Garrard,Mark Howard, Jolyn Johnson, John Longbottom, Ingrid McCawley, Timmy Johnson (liaison), Karen Kempf (recording). 1. Call to order -Chair Laurie Melancon called the meeting to order at 7:03 p.m. Quorum was established and the meeting was duly noticed. 2. The Committee reviewed the September 23 meeting minutes. Jolyn moved and Cris seconded the motion to approve the minutes as written. The committee unanimously approved the minutes. 3. Ongoing Business a. Events and Updates i. Songwriters' Concert & Acoustic Nights -John reported that 75 people (full house) attended the November Songwriters' Concert Holiday Artisan Faire - Jolyn reported that the first Holiday Artisan Faire was well attended. That overall, the artists enjoyed the event and did well. ii. Holiday Sing-along -Ingrid requested volunteers for the Sing-Along to arrive at 5 p.m. She hoped with more volunteers to make this year's event easier to manage the crowd of kids and parents who attend. The Teen Council may have a couple volunteers as well. The traditional Santa in velvet suit will preside, a city fire truck will bring Santa around 6:30, and ABET may provide some music from their playas well. The Foundation School has offered to do an 'art table' for kids and will setup in the main room. New snow machines were purchased this year. John offered his sound system to augment the karaoke machine speaker. iii. Arts in the Park - Jolyn showed the poster that Mark Howard had designed for this year. Two applications have been received to date. Lynn will be putting together a marketing plan for the event. Alicia Paley has offered to coordinate the dance groups again. iv. Tour de Parks -Tim reported that the bike park tour is scheduled for Saturday, June 6, after baseball season. v. Cooking Classes -Mark reported that Barry agreed to do the first cooking class. The committee decided to begin with the first class in March, a Thursday evening at Adele Grage. The committee thinks that reservations can be made for 10-12 couples, Z4 people maximum for the first class. b. Teen Council -Tim reported that Dawson is out of town but plans on attending the January meeting. A dodgeball tournament is set for Dec. 13, 9 a.m. at two Russell Park tennis courts. The Teen Council will help with the Town Center bike parade. Other clubs, like Interact may want community service hours as well. c. Mayport Middle School program support -Laurie reported that the transition camp was successful this fall. See asked that the approved budget of $14,100 be re-allocated from the transition camp and art club to the following: Transition Camp August 2009 - $4500 (80 children); Pre-AP Transition Camp August 2009 - $5500 (50 children); Drama Club and Annual Play November 2008 - $2500; Afterschool FCAT Tutoring Program January & February 2009 - $1600 (materials and salaries). After the committee discussed the original purpose of the budget allocation, and the proposed changes, Lori moved that the committee approve the suggested budget changes and Mark seconded the motion. The committee unanimously approved the budget modifications for Mayport funds. 4. New Business a. Resignation -John submitted his letter of resignation, citing the fact that he will be traveling and will miss many of the remaining meetings during his term. John was thanked for his service to the committee and John reassured the committee that he will continue to help out with events when he is in town. b. Art Exhibit -Mark was asked if he could contact teachers for a FCCj art show at Adele for April. He will follow-up with classes or individual students for a show. c. Volunteer Recognition -Tim passed out certificates thanking the committee for their contribution to the department and city of Atlantic Beach in 2008. 5. Laurie requested a copy of the approved budget for the committee to review at the January meeting. 6. With no further business, the meeting was adjourned at 7:40 by unanimous acclaim.
