2-24-09J~ ;~;: r, :1 ~:`} v~~ CULTURAL ARTS and RECREATION ADVISORY COMMITTEE CITY OF ATLANTIC BEACH Meeting Minutes Tuesday, February 24, 2009 Jordan Community Center 7:00 p.m. Present: Laurie Melancon, Lori Gaglione, Mark Howard, Jolyn Johnson, Ingrid McCawley, Lynne Roskein, Jeff Wight Timmy Johnson (liaison), Karen Kempf (recording). Guests: Karin Frozio, Charles Stambaugh. 1. Call to order -Chair Laurie Melancon called the meeting to order at 7:10 p.m. at Jordan Park. The meeting was duly noticed and a quorum present. 2. Approval of Meeting Minutes -Meeting minutes from January 27, 2009 were reviewed. Ingrid moved to accept as written; Jolyn seconded the motion, The committee unanimously approved the minutes. 3. Beaches Children Choir - Ms. Frozio and Mr. Stambaugh presented information to the committee about the formation of, current status and future plans for the Beaches Children Choir. They stressed the need for and interest in a choir for the Beaches area. The new choir of children, grades 2 to 5, has 22 members, 37% who live in Atlantic Beach. They have performed at the Town Center Tree Lighting, the Beaches Hospital, and on Channe112. To grow the choir this fall, they need sponsorship and community support. The fee per child is $45. They requested $1400 in seed money for a $17,000 budget for the coming year to perform 4 events per season. The chair explained the budgeting process for the City of Atlantic Beach, thanked them for the work they are doing for the community, and will consider their request for funding in the coming year. 4. Qngoing Business a. Events and Updates i. Arts in the Park - Jolyn reported that Darrell Prather is coordinating the music and Alicia has completed contacting dancer groups. Thirty applications have been received to date and the first deadline is March 6. These artists will be juried for admission while late registration continues through April 3. Tim is checking with city hall to see what is required for food vendors at the park. Volunteers are still needed for the event and Jolyn asked committee members to volunteer and find an additional volunteer. T-shirts will be given to volunteers. Lori is placing ads in Jacksonville Magazine and Luxury Living. Karen is completing the poster and post card will be mailed to the surrounding area. ii. Songwriters' Concert -Tim reported that Songwriter's once again had a full house of 70 attendees with 14 performers at the Sunday night event. Acoustic Nights will begin in March and Ingrid will report on that event next month. iii. Cooking Class -Mark gave an update on the cooking class at Beaches Diner. He suggested that the class be held at the diner instead of Adele Grage. A discussion followed concerning location, menu, and having wine with the meal. Tim will follow up on a city sponsored event having alcohol and advertising. The cooking class can be any night in April if not held at Adele Grage. Tim and Mark will see if Apri115 will work as a date for the event. b. Teen Council -Dawson was not able to attend this meeting and will be out 2 more meetings. Tim reported that no special events applications for Teen Council events have been received for spring. To continue the Teen Council, it will need strong adult leadership to plan and complete events. 5. New Business a. Election of new CARAC chair -Lori Gaglione had previously accepted a nomination to serve as CARAC chair. Lynne agreed to serve asvice-chair. Ingrid moved to elect Lori chair and Lynne vice-chair for the Cultural Arts and Recreation Advisory Committee. Jolyn seconded the motion and the committee unanimously approved the nominees. b. Guidelines for display of public art -Tim passed out a draft of a few guidelines but will send out a second draft to committee members to review/discuss for the March meeting. c. Subcommittees -The committee decided to carry over this discussion for the next meeting and bring names of those who might serve on subcommittees. Tim stated that subcommittees need to follow the same Sunshine laws as committee members. d. Health Lecture -Jeff would like to give a free lecture on developing strategies for eating and exercise. It would be part of a community program at the city recreation centers that addresses healthy living. He is currently looking at grants that would support this program. 6. Other Agenda Items/Announcements a. All committee members are asked to attend the Sunshine Law training at City Hall and sign- in. b. Next meeting will return to Adele Grage on March 24, 7 pm. 7. Adjournment -With no further business, Ingrid moved to adjourn the meeting. Mark seconded the motion and the meeting was adjourned at 8:12 pm.
