Rousseau, Director of Project Management 14185 Dallas Parkway Suite 1150 Dallas, Texas 75245 RE: Issuance of Certificate of Completion for Conference Room Addition This letter is in follow -up to our meeting on April 7, 2011 to discuss the temporary parking agreement as indicated in the attached letter dated November 17, 2010 reducing the occupant capacity of the Banquet Rooms to accommodate the now completed conference room addition. Sonya Doerr, City Planning Director, Erika Hall, Principal Planner, Frank W. Rousseau, Director of Project Management and I were present at the meeting. We agreed the temporary reduction of 110 occupants for the Banquet Room will be made permanent and a variance for the required parking will not be required. Therefore, permanent maximum occupant load signs must be placed showing a maximum occupant load for the Banquet Room of 462 occupants. This agreement is made with the understanding that any future additions requiring additional parking will not be allowed unless the required parking is provided or a variance is obtained from the City of Atlantic Beach Community Development Board. The said proposal would temporality reduce the occupancy capacity in the Banquet Room from the current amount of 572 to a reduced amount of 462; a difference of 110 people. It is understood that we would apply for a variance and recapture the original 110 people counts once the issues were resolved through the Planning and Zoning Meeting with the City Council. We would like to apply for the said variance to be presented as soon as possible and would welcome the opportunity to be considered for a special session or to be put on the docket for the next available meeting. Thank You for your help in allowing us to proceed with the construction of the proposed Meeting Rooms in an effort to allow us to retain the original design intent from the previous renovation.
