9-23-14 ‘,4 tikiploso CULTURAL ARTS and RECREATION ADVISORY COMMITTEE CITY OF ATLANTIC BEACH Meeting Minutes Tuesday, September 23, 2014 Adele Grage Cultural Center Present: Lou Catania, Grant Healy, Robert Liggero, Martha Marshall, Pamela White, Timmy Johnson (City Liaison)and Julie Metheney(City liaison). Excused:Sheena Rupert, Nick Malie 1. Call to order-Chair called the meeting to order at 6:03 pm 2. Approval of Meeting Minutes- Robert motioned and Lou seconded the motion to approve the August 26, 2014 minutes. The minutes were unanimously approved. 3. Ongoing Business a. Arts in the Park(AITP)-Timmy discussed the application process: posting and e-mailing out the application, receiving the applications,the two deadlines: 31 October and 31 December. He quickly went over the jury process. Timmy suggested that the committee attend the Beaches Art Fest in lax Beach to check out the artists and obtain business cards from those artists that they liked. Timmy answered Pam's question about how many jewelers were in AITP 2014- 12 out of 73 artists. Timmy explained how artists are placed so that similar artists are not next to each other. Timmy explained there have been over 100 artists at previous events and the artists did not like the set up it created. He said that the set up for 70-73 artists is comfortable for the size of the area the artists are set up. Lou suggested having either musicians stationed on the north side and south side of Johansen Park and/or having roaming musicians who move among the artists'tents. Pam suggested acoustic musicians similar to North Beaches Art Walk. Robert asked if there were kids'activities at AITP. Timmy said no but that in a previous year there was a dance review. He explained how the location and size of Johansen Park limits adding events. There was no room for the guests to sit and enjoy the dancing. b. Artisan Faire-Timmy discussed the preparations for the Artisan Faire- sending out invitations and RSVPs,media releases to include paying for an ad in the Beaches Leader,requesting the committee members and the artists to send out e-invites to customers, friends,and family. c. New Year's Eve-Timmy stated he met with Sheena about a New Year's Eve event. He explained the committee cannot use the phrase "1st Night" unless we became members of the"1st Night"group. Timmy explained the amount of people and time an event like this takes. He explained there were events at Atlantic Beach Elementary school,Adele Grage Center, City Hall, Howell Park, Presbyterian Church,and everyone ended up at the beach for bonfires. Grant stated that he felt that it was not well attended but Timmy mentioned that he researched the attendance and found that about 2,000 people attended. A motion to wait until Sheena was there in October to discuss further was seconded. Robert made the motion and Pam seconded to table the discussion until we could hear from Sheena. The motion passed unanimously. d. Budget-Timmy passed out the Budget worksheet to the members. He explained that each month he would present an updated Budget sheet (if applicable) so that the members are aware of the Budget. Timmy used the budget for Acoustic Night and Songwriter's Night as an example of depletion of funds from one month to the next. Timmy also, mentioned having Sheena report on Acoustic Night and Songwriter's Night since she attends these events. 4. New Business a. Tennis tournament. Robert suggested it would be a great opportunity to showcase the improved courts at Russell Park. Timmy stated that the courts would be ready in November. Realizing it would not be a good time due to the short turn around,it was suggested that March would be a better time. b. Food trucks were discussed. Timmy stated that the city did not have issues using food trucks at events. He suggested that the Fall Festival would be a good event to have food trucks. He explained quickly about health inspections, Licenses,and forms to be filled out when using food vendors. c. Fall Festival-Grant asked about the Fall Festival. Timmy explained that the Fall Festival includes music,free food, and there are booths set up for Voter's Registration, Police explorers,recruiting,and Animal Control plus other festivities. d. Kayak event/Marsh Fest. Lou mentioned the Marsh Fest. A discussion on what Marsh Fest is,when it is held,how popular it is. Robert suggested that on off years to have a kayak event with guides with a limited the number of people. Timmy stated that there are several companies in the local area and Fernandina Beach that may want to participate. Timmy said that he would add it to the agenda. He also said that the committee will start talking about Marsh Fest 2015 in January 2015. 5. Other Agenda Items/Announcements a. Next meeting-October 28, 2014 6. Adjournment-with no further business, Lou moved and Robert seconded the motion to adjourn the meeting. The meeting was unanimously adjourned at 6:35 pm. ### Grant Healy, Chairperson
