AGENDA ITEM: Annual Janitorial Service Contract for City Facilities Bid No. 0405-10

BACKGROUND: On May 25, 2005 the City terminated Atlantic Coast Total Office Care,
Inc for failure to perform services in a manner satisfactory to the City as
per written specifications. On May 26, 2005 the City Manager approved
"' a temporary agreement with Coverall Cleaning Services to clean our city
facilities on a monthly basis until the renovations to City Hall were
completed. Coverall Cleaning Services also agreed to charge the City the
`' same amount that Atlantic Coast Total Office Care was charging for monthly
cleaning services, which was $3,700 per month. Due to major renovations to
City Hall, the square footage of the building was substantially increased and
the City was required to re-bid the contract to change the bid specifications.
Requests for bids were advertised and Bid No. 0405-10 was opened on
"' August 10, 2005. Staff reviewed all bid submissions and determined that
Coverall Cleaning Services was the lowest qualified bidder at a cost of
$46,200.00 per year. Coverall Cleaning Services met all requirements and
~' submitted all required documents, including positive references. During the
past couple of months, Coverall Cleaning Services has done a very
professional job in maintaining the cleanliness of city facilities and working
~` with city staffto meet our needs. The following bids were also submitted:
Anago of Jacksonville, at a cost of $50,076.00 and Jan-Pro at a cost of
$76,439.92.
RECOMMENDATION: Recommend the City Commission award a one (1) year contract to
expire on September 1, 2006 to Coverall Cleaning Services in the amount
~ of $46,200.00.
BUDGET: The City budgeted $39,200 in FY-06. The additional cost of $7,000 will
be taken from budgeted operating accounts.
