AGENDA ITEM: Replacement of Existing Drainage on Sheny Drive

BACKGROUND: During the construction of Sheny Drive, the contractor, Callaway
Contracting, Inc. and the Public Works Inspector, Mr. Ernie
Beadle, noted that some of the storm sewer intended to remain in
place by the design engineer, Aikenhead & Odom, Inc., had several
problems. First, one of the basins was not actually a basin at all,
but was just a cut out in the existing corrugated metal pipe.
Second, another existing basin had poorly constructed walls and a
pipe not actually attached to it. The overall condition of the
corrugated metal and Orangeburg pipe was very poor. .
Neil Aikenhead and I reviewed the site conditions in the field, and
decided that this existing section, since necessary for localized
ponding, should be replaced. Prices were submitted from the
contractor and appeaz to be in accordance with the prices submitted
for other similar items on the contract.
BUDGET: The total additional work is proposed to cost $20,435.28, and will
be funded from previously approved 10% contingency amount on
the project, which is $12b,951.02.
RECOMMENDATION: Approve the additional work as submitted by Callaway
Contracting, Inc.

Per our meeting yesterday and coordination and discussions today, attached aze six (6) copies of
Revised Sheets 13, 14, 15, 16, 17, 18, 22, 23, 25, 27, 29, & 39. These sheets provide the
following changes, each "clouded" for clarity:
Modifications to various small drainage structures along the west side of Sherry Drive.
2. Minor modifications to the sidewalk on the east side of Sherry at Ahern.
3. Clarification issues for the grades on Sherry between Atlantic and Ahern.
4. Adjustment to the 12" water main west of 6s' St to avoid a proposed small drainage pipe.
The water main has not yet been installed in this area.
Most of these items are a result of your concerns about the existing small drainage structures
along the west side of Sherry which have come to light while the contractor is installing the water
main. These systems aze outside the proposed limits of construction, and as noted on our
General Notes for this project are intended to remain in place as is.
Following your comments about failing Orangeburg pipe and inlet grates set duectly on pipe, you
and I reviewed the site conditions in the field in great detail. We even found one area where all
that remains now is a "hole" in the top of the pipe where an inlet existed sometime in the past.
We have now discussed numerous alternatives and A&O has prepared the attached field order
documents based on our findings and alternative analysis. These documents will be used to
determine what Callaway Contracting will charge for the noted minor repairs to these structures
and the. connecting piping. A&O will not charge for the effort required on our part.

If Callaway's quoted price for this work is unsatisfactory to the City, most of this work can be
accomplished by City forces following construction. That which would be most efficiently don
by Callaway (a concrete junction box, some minor piping, and a few other items) has unit pricing
available in the bid documents which limit those costs. C1eazly this is not the preferred
alternative, but at least we have an option.
I also attach for your use a quantity sheet for the storm drainage work required. In addition to
this, there will be one water conflict detail for the ]2" water main (4-12" 45° bends).
I am also attaching one (1) complete set of the Sherry Drive plans as requested for your use with
AT&TBellSouth. This set includes the minor modifications related to shop drawing
coordination which were sent to you yesterday, July 23. These do not include any of the attached
field order issues.
As you know, I was planning to be gone starting this afternoon through August 6. However, I
have postponed leaving at all this afternoon or this evening to handle this, and am currently
intending to leave Wednesday early A1vI. Based on our discussions this afternoon, it appears I
won't need to cancel my meetings Thursday or Frday of this weak. However; if anvthine goes
awry which can't be handled by my people (or by me via telephone), I will cut short my vacation
planned for next week, if that proves necessary to assist you in f realizing this matter.
